MRFe

To access the MRF module, the user must navigate through the Main Menu as follows:

Procurement → MRF

A new MRF can be generated by selecting the “+” icon located at the top-left corner of the screen. The following form appears when a user creates a new MRF or modifies an existing one.

The MRF form consists of two main sections: Basic Data and More Data.

The Basic Data section includes general information such as transaction date, MRF number, due date, company and project details, budget references, supplier/customer codes, currency, warehouse, and other related master data fields.

The More Data section contains additional configuration details, including material/service classification, department and hierarchy codes, detail type, MIR requirements, expense indication, tendering reference, and selection filters for detail creation (e.g., division, package, BOQ item, cost codes, item categories, and delivery responsibility).

All required fields must be completed before saving the MRF.

Within the MRF Header , the following fields are required:

  1. T Date (Transaction / Issue Date)

  2. Company Code

  3. Branch Code

  4. Project Code

  5. Detail Type

After completing the mandatory fields, the user must select Save.

Upon saving the record, the system automatically generates a unique MRF Number.

The Detail Type field determines whether the analytical item will be selected directly from an existing BoQ line or whether the BoQ line will be used, particularly in cases where the item is to be assigned to a subcontractor, as illustrated below.

Once the MRF has been saved, the user may proceed in one of the following ways:

  • Manually insert items line by line using the MRF grid, or

  • Import items from an existing budget.

The second option is recommended, as it is more efficient and ensures that all relevant budget information is automatically utilized.

To review the contents of the MRF, the user must open the “MRF Details” tab.​​

By selecting the Analysis of the items displayed in the MRF Details, the user can identify the specific BoQ lines from which the items have been retrieved.

After completing all required information, the user must navigate to Actions → Create Detail Lines to generate the corresponding MRF detail entries.

The MRF detail lines automatically retrieve the total quantity defined in the selected BoQ line.

However, the user may modify the Quantity (Qnt) field, allowing the BoQ amount to be partially allocated and effectively split across multiple MRFs.

When the same filter criteria are applied in a future MRF, the system will automatically display the remaining (unallocated) quantity.

The final step is to generate a Requisition from the MRF by selecting the “Transfer to Requisition” button located at the top of the form.
