Store Issue Voucher

Inventory > Inventory Transactions

Go to Inventory Transactions and click the '+' button to create a new record.

To create a GRN you are going to use dynamic search bar by typing "Inventory Transactions"

To add a new record , click the “+” button “New Record”.

To create a Store Issue Voucher, the following fields are mandatory:

  • T Date

  • Company Code

  • Branch Code

  • Project Code

  • Document Type Code (select "SIV Store Issue Voucher - Export from Inventory to Cost")

  • Inventory Document Type Code (Select Good Receive note (Cost)

  • Warehouse Code

Then, click Save.

To view available items in the Warehouse:

  1. Click the Actions button.

  2. From the dropdown menu, select Fetch Items from Inventory.

To transfer materials, navigate to the 'Qnt to Transfer' column and specify the desired quantity for each item.

In the Inventory Detail screen, the related materials and quantities have now been retrieved from the Inventory along with their unit prices.

In the Inventory detail list, select the lines related to the items. In the BoQ Line column, add the corresponding BoQ lines where these items will be consumed.

For example, we have selected BoQ line 01.02.03.

Then,click Save.

  1. To set this Inventory Transaction , click Entry Complete to finalize the initial entry.

  2. Then, click Fully Approve.

🔒 Approval will follow the predefined workflow, routing the GRN to the necessary users for authorization.

  • Once fully approved, click Post.

  • The system will dispatch the store issue voucher, and the cost will be applied to the budget.

Budgets Menu > Budgets

Go the related Budget

To view your Store Issue Voucher Entry in the Budget:

  1. Click the Actions button.

  2. From the dropdown menu, select Budget Vs Cost.

In this particular example, we have created only one Store Issue Voucher for BoQ line 01.02.03. As a result, in the Material columns, we can see the corresponding cost of 400.00 USD, which is derived from the calculation:

Quantity (20) × Unit Price (20 USD) = 400.00 USD

In the Material column under the Actual Cost line, the value of 400.00 USD is displayed, while the Budgeted Cost for this BoQ line is 92,737.20 USD.

Find the related BoQ line, click on the three vertical dots (⋮) button, and select the Material option.

After clicking on the three vertical dots (⋮), a grid appears showing a breakdown of the material cost for the selected BoQ line.

  • The Quantity (Qnt) column displays the issued quantities along with their respective units of measurement (e.g., kg, , ).

  • The Unit Price (UPrice) column shows the cost per unit, based on the currency defined in the system.

  • The Total Amount column is the product of Quantity × Unit Price.

At the bottom of the grid, you will also see the sum totals of the quantities and the total cost.
