Approvals Workflow

Administration > Approvals Workflow

In order to create an approval matrix the user must navigate the Main Menu to:

Administration > Approvals Workflow

To create an Approval Workflow you are going to use dynamic search bar by typing "Approval Workflows"

To add a new record , click the “+” button “New Record”.

Once on the creation screen, the user can filter in several ways when this specific approval matrix is applied however the recommended fields for filtering are:

Category Code; this allows the user to select on which screen or transaction will the approval matrix get applied to.

Department Code; Since different matrices can be applied to the same transactions; example: Order for the office equipment or the site equipment will have different people approving.

Document Type Code; this is when you have different document types on the same transactions for example GRN (goods received voucher) vs GRN-C (Goods export to cost) which are both available on the same screen but require different approvals.

Once the required filters are done, the user must then save the first time with the Basic Data to access the approval matrix.

On this example we are going an Approval Workflow for an Employee Daily Transaction.

To create an Approval Workflow, the following fields are mandatory:

  • Category Code (Select "Employee Daily Transactions")

  • Company Code

Additionally, you can also enter additional information such as

  • Project Code (In case you have different approval workflows per project)

  • Document Types Codes among others.

  • Specialty Code (to set up specific workflows for each specialty)

Then, click Save.

Once the form is saved, the "Approval Workflow Sequence" tab becomes available.

In this case, we have configured an approval workflow that begins with the Site Engineer. For the process to be fully approved, it must also receive final approval from the Project Manager.

By default, the "Accounting Approval" field is set to a dash ("–"), indicating that accounting approval is not required. However, if you check the corresponding checkbox, the workflow will also require approval from the Accounting Department.

Then save the grid, and return to the "Basic Data" tab to complete saving the record.

Here the user will see the list of approval matrices registered on ProjectVIEW. To create a new one the user must click on the plus sign “+”.

Afterwards a new tab will show with the Approval Workflow Sequence:

The accounting and site approval tabs are in case the user wishes to add an “Adjacent” matrix for screens that have accounting transactions or site transactions as well as the normal users.
